End-of-Day Admin Checklist (15 Minutes)
- - Review tomorrow's schedule (confirm times, addresses, and who's doing what)
- - Update job statuses for today's completed work (so the board is accurate)
- - Send any pending invoices from today's jobs (same-day or next-morning send helps get paid faster)
- - Note any follow-up needed (callbacks, parts to order, quotes to send)
- - Check messages and missed calls (assign an owner or callback time so nothing sits)
How to customize
Replace placeholders:
[Name]→ Customer or tech name[time]→ Arrival time (e.g., "2:00 PM" or "in 30 minutes")[link]→ Job link or tracking URL
Avoid these mistakes:
- Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
- Don't use confusing abbreviations or jargon
- Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)
How to use it
- Do this checklist at the same time each day (end of day or first thing next morning) so it becomes habit.
- Keep it to 15 minutes maximum; if it grows, split "must do today" from "can do weekly."
- Store the checklist in the same place as your schedule so you see it when you're already in planning mode.
- If you skip a day, do the first three items at minimum (schedule, statuses, invoices) so the next day doesn't start blind.
Common tweaks
- Add a parts pickup or order reminder if you run trucks and need to restock.
- Add a customer follow-up note (e.g. "Call Mrs. Smith about quote") so it's in one list.
- Add a next-day prep step (e.g. print route sheet, load materials) if your morning is chaotic without it.
- Add "Reconcile payments received today" if you take a lot of on-site or same-day payments.
