Estimate-to-Work-Order Checklist (Handoff Clean)

  • - Copy scope from estimate to work order (every bullet; don't summarize and lose a line item)
  • - Confirm pricing matches estimate (or note changes and get a quick OK if something changed)
  • - Transfer customer approval/signature from estimate (so you have proof they approved this scope)
  • - Add any new details discovered during estimate (access, condition, extra work discussed)
  • - Set work order status to 'Scheduled' or 'Ready to start' (so dispatch and tech see it)

How to customize

Replace placeholders:

  • [Name] → Customer or tech name
  • [time] → Arrival time (e.g., "2:00 PM" or "in 30 minutes")
  • [link] → Job link or tracking URL

Avoid these mistakes:

  • Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
  • Don't use confusing abbreviations or jargon
  • Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)

How to use it

  1. Use this checklist when converting an approved estimate to a work order—every time, so nothing is assumed.
  2. Complete the checklist before scheduling the work so the tech and customer see the same scope.
  3. Store both estimate and work order in the same job record so you can show "approved" vs "done" if there's a dispute.
  4. If scope changed during the estimate visit, add one line describing the change and get verbal or written OK before you start.

Common tweaks

  • Add a materials list if parts are needed so the warehouse or tech knows what to pull.
  • Add a special instructions section (access, pets, parking) if the job has non-standard requirements.
  • Add a timeline note if the work order differs from the estimate (e.g. "Split into 2 days per customer request").
  • Add "Permit or HOA approval attached" when required so the job doesn't start without it.
