  • - Pre-visit: review customer history and last visit notes (so you know what was done and what to watch)
  • - During: complete standard maintenance tasks (your checklist—filter change, inspection, etc.)
  • - During: note any issues found or recommendations (one line each so the next visit has context)
  • - Post-visit: customer sign-off and photos if needed (proof and agreement in one step)
  • - Post-visit: schedule next visit if recurring (put the date in the system or on the calendar before you leave)

How to customize

Replace placeholders:

  • [Name] → Customer or tech name
  • [time] → Arrival time (e.g., "2:00 PM" or "in 30 minutes")
  • [link] → Job link or tracking URL

Avoid these mistakes:

  • Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
  • Don't use confusing abbreviations or jargon
  • Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)

How to use it

  1. Use this checklist for every maintenance visit so techs don't rely on memory.
  2. Customize the standard tasks for your service type (HVAC, plumbing, cleaning, etc.) and keep the list short enough to finish every time.
  3. Store the checklist with the job record so you can see what was done at the last visit when they call back.
  4. Review the checklist once a quarter: if a step is always skipped, either remove it or fix the reason (e.g. missing part, not enough time).

Common tweaks

  • Add specific maintenance tasks for your service type (e.g. drain pan check, filter size, pressure readings).
  • Add a parts replacement section when you often swap parts on maintenance (part number, quantity, condition).
  • Add a customer education note (e.g. "Explained filter change interval") when you're training them to maintain the system.
  • Add "Access confirmed" or "Key/gate code used" so the next tech knows how to get in.
