Parts Not-Ready Flag Template (What to Note)
PartsNot readyFlag
A template for flagging jobs where parts aren't ready so you don't schedule the job (or send the tech) until parts are ordered, received, and checked. Notes status and next action so the team knows what to do.
For teams that schedule jobs only to find parts aren't in yet or the wrong part was ordered, causing same-day delays or wasted trips.
Next: Flag every parts-dependent job for two weeks and don't schedule until the flag is clear; then see if you need parts tracking in your FSM.

How to customize
Replace placeholders:
[Name]→ Customer or tech name[time]→ Arrival time (e.g., "2:00 PM" or "in 30 minutes")[link]→ Job link or tracking URL
Avoid these mistakes:
- Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
- Don't use confusing abbreviations or jargon
- Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)
How to use it
- Use this flag whenever parts aren't ready for a scheduled job.
- Flag the job immediately when you know parts aren't ready.
- Update flag status as parts progress (ordered, then received, then checked, then ready).
- Don't schedule job until parts are ready (prevents delays).
- Review flagged jobs daily: which parts are still not ready?
Common tweaks
- Add supplier contact info if helpful.
- Add part numbers if you use them.
- Add expected delivery dates if known.
- Add urgency note if it's a rush order.
