Parts Pickup Handoff Note

One handoff note when someone picks up parts for a job: job, customer, date, tech, parts list with quantity and location, who picks up and when, and a confirmation checklist (ready, picked up, delivered to site, verified before job). Stops wrong parts or no parts showing up at the job because nobody had one place that said what was needed and who confirmed it.

How to customize

Replace placeholders:

  • [Name] → Customer or tech name
  • [time] → Arrival time (e.g., "2:00 PM" or "in 30 minutes")
  • [link] → Job link or tracking URL

Avoid these mistakes:

  • Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
  • Don't use confusing abbreviations or jargon
  • Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)

How to use it

  1. Create the handoff note when parts are ordered or pulled so the picker and the tech see the same list.
  2. List every part with quantity and where it lives (shelf, supplier, job box) so there's no guesswork.
  3. Assign who picks up and by when so someone owns it and the tech isn't waiting on 'someone.'
  4. Confirm parts are ready before pickup (call or text supplier) so the picker doesn't drive for nothing.
  5. When picked up, verify part numbers or photos so wrong parts don't land on the truck.
  6. Confirm parts are at the job site before the tech arrives so the tech doesn't show up to no parts.

Common tweaks

  • Add part numbers if you use them so pickup and job record match the same SKU.
  • Include supplier contact and lead time so you know when to order for the next job.
  • Add a photo of the parts if visual confirmation prevents wrong-part runs.
  • Note a backup part or supplier if the primary isn't available so the job isn't delayed.
