Parts Return / Restock Checklist

PartsReturnRestock

A checklist so unused parts get back to inventory and low stock gets reordered before you're stuck on a job without the part. Stops money from sitting in trucks and jobs from waiting on restock.

For teams losing money from parts sitting in vans or losing time because inventory wasn't restocked.

Next: Use it for 2 weeks on every job with unused parts and weekly for restock; then decide if you need parts tracking in your FSM.

How to customize

Replace placeholders:

  • [Name] → Customer or tech name
  • [time] → Arrival time (e.g., "2:00 PM" or "in 30 minutes")
  • [link] → Job link or tracking URL

Avoid these mistakes:

  • Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
  • Don't use confusing abbreviations or jargon
  • Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)

How to use it

  1. Complete the return checklist after each job that had unused parts—same day so the truck doesn't become a warehouse.
  2. Complete the restock checklist when inventory hits your minimum (or once a week) so you're not caught short on the next job.
  3. Update inventory count immediately when parts return or restock; don't wait for end of week or you'll double-order or run out.
  4. Store the checklist with the job record (for returns) or in a single inventory log so you have a trail.
  5. Review inventory weekly to catch low stock and slow-moving parts so you can adjust what you carry.

Common tweaks

  • Add part numbers if you use them so returns and reorders match the right SKU.
  • Add supplier and reorder lead time so you know when to order for next week.
  • Add cost tracking if you need to tie parts to job costing or margin.
  • Add minimum stock levels per part so restock is triggered by a number, not memory.
