Same-Day Invoice Checklist (Field-Ready)
Same-day invoicingField-readyChecklist
A checklist to send invoices the same day as the job: before leaving (sign-off, photos, notes), invoice creation (correct info, line items, payment link), same-day delivery, and short follow-up if not paid. Gets you paid faster and reduces chasing.
For teams sending invoices days or weeks after jobs and losing time to payment or customer confusion about what they owe.
Next: Run it on every job for one week; if you're still sending late, the bottleneck is closeout or tools, not the checklist.

How to customize
Replace placeholders:
[Name]→ Customer or tech name[time]→ Arrival time (e.g., "2:00 PM" or "in 30 minutes")[link]→ Job link or tracking URL
Avoid these mistakes:
- Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
- Don't use confusing abbreviations or jargon
- Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)
How to use it
- Complete the checklist before leaving the job site.
- Create invoice on-site if possible (phone or tablet).
- Send invoice within 1 hour of job completion.
- Include payment link or offer to take card on-site.
- Set clear payment terms (due date, late fees if any).
Common tweaks
- Add a line for change orders if scope changed.
- Add a line for warranty info if applicable.
- Add a line for customer preferences (email vs. text).
- Add a line for payment method preference.
