Work Order Scope Fields Checklist (5 Must-Haves)
Work ordersScopeChecklist
Five fields that prevent scope disputes: what's included, what's not included, parts/materials, time estimate, and customer approval. Fill them before starting so 'that wasn't in the quote' doesn't come up after.
For teams dealing with 'that wasn't in the quote' or 'I didn't agree to that' disputes because scope or approval wasn't clear.
Next: Use the 5 fields on every work order for one month; then add or tighten fields only where you still see disputes.

How to customize
Replace placeholders:
[Name]→ Customer or tech name[time]→ Arrival time (e.g., "2:00 PM" or "in 30 minutes")[link]→ Job link or tracking URL
Avoid these mistakes:
- Don't use overly aggressive language (e.g., "URGENT: Payment due now!")
- Don't use confusing abbreviations or jargon
- Don't make promises you can't keep (e.g., "We'll be there in 10 minutes" if it's not realistic)
How to use it
- Fill out all 5 must-have fields before starting work.
- Be specific in 'what's included' (not vague like 'fix AC').
- List exclusions clearly so customers know what's not covered.
- Get customer approval in writing (text, email, or signature).
- Attach photos of the issue before starting work.
- Update the work order if scope changes during the job.
Common tweaks
- Add warranty info if work includes warranty coverage.
- Include payment terms if payment is due at completion.
- Add callback policy if work might need follow-up.
- Include safety notes if work involves hazards.
